-
Keeping your data safe
-
Giving you control and flexibility
-
Providing useful and timely information
I will only retain your data for as long as is necessary and I will always dispose of it safely.
I use your data so that I can personalise your experience, focusing on your individual needs.
I will maintain confidentiality of any information obtained in or around coaching and/or hypnotherapy sessions and/or events unless there is a legal reason or requirement, a threat of harm to you or others, or your written consent is given to release the information.
1. Information I hold about you
Information I hold about you will usually come from you directly, for example on the Client Agreement, Consent & Health Information Form (e.g. full name, date of birth, contact details and address, GP details, health and lifestyle), payment details, and any other information disclosed during interactions.
If you visit my social media pages or view my content on social media platforms (such as Facebook) both me and the social media platform provider may collect information about you, including:
-
what you say (such as comments) or your actions (such as liking, sharing or recommending)
-
your country or region (or your precise location if you have provided this in your user profile and you are logged in)
-
your device and internet connection; and
-
your social media profile details and user ID.
If you have allowed the use of tracking cookies on the social media platform, the information collected will also include what you click on and what you view.
If you have allowed the use of tracking cookies on my website, the social media platform provider will be able to collect information about you, your device and which of my web pages you visited, and they may use it to show you products and services that may be of interest to you. I may receive anonymous statistical information. You will not be identifiable from this.
2. What I use your information for and the legal basis for doing so
I must have a legal basis (lawful reason) to process your personal data. In most cases, the legal basis will be one of the following:
-
To allow me to take actions that are necessary for me to provide you with the service you want (for example, to make payments for coaching received).
-
To allow me to meet any legal obligations and abide by the code of ethics for the relevant accredited professional bodies (for example, CMA and GHR).
-
To protect legitimate interests (for example, to ensure client safeguarding and provide quality of service).
-
I have your permission to use your information.
-
For special category data (for example health information), I process it with your explicit consent, collected through my forms and/or our agreement. In rare cases, I may also share information where required by law or to protect you or someone else from serious harm.
What I use your information for:
-
To provide, manage and personalise my services to you.
-
To communicate with you about this service.
-
I may use information about your personal circumstances to support you if you are in a ‘vulnerable circumstance’. This may include placing a ‘marker’ on your notes.
-
To manage any complaints, take action to put matters right, and to answer questions.
-
To check your instructions to me, to analyse, assess and improve my services.
-
To tell you on occasions about other services and events that I may be offering, that may be of interest to you. I have your permission to do so unless you have specifically opted out of marketing. I only send marketing messages where you have actively opted in (for example via the Client Agreement, Consent & Health Information Form). You can opt out at any time.
-
To keep to laws and regulations that apply to me.
-
To process your payments.
Automated decision‑making: I do not use automated decision‑making (including profiling) that produces legal or similarly significant effects for you.
3. How I may use your personal data to communicate with you
I may send you messages by post, telephone, text message, email and through new methods that may become available in the future. These messages may be:
-
To arrange, notify, remind or cancel sessions and/or services.
-
To update you on any changes to agreements or services.
-
To send across resources, tools or next steps, discussed as part of the service.
-
To keep you informed about any additional services and/or events that may be of interest to you. These are marketing messages. You can ask me to stop or start sending you these messages at any time either in writing, by text or email.
4. Who I will share your information with
I will keep your information confidential, but I may share it with trusted third parties (who also must keep it secure and confidential) to help me operate as set out in Section 2, for example providers of payment processing services.
Or unless there is a legal reason or requirement, a threat of harm to you or others, or your written consent is given to release the information.
International transfers: Some of the third‑party services I use (for example website hosting, email and analytics providers) may process personal data outside the UK. Where this happens, I only use providers who put appropriate safeguards in place in line with UK GDPR (for example UK adequacy regulations or approved contractual safeguards).
5. Keeping your information
I typically keep client records for 6 years after our last contact (to manage any queries or potential legal claims). After this, records are securely deleted or anonymised unless a longer period is required by law.
6. Your rights
You have certain rights under UK GDPR relating to your personal data.
These include the right to:
-
Access - ask for a copy of the personal data I hold about you (subject to reasonable and proportionate searches)
-
Data Portability - ask me to give you (or a third party chosen by you) an electronic copy of the personal data you have given me
-
Correction - ask me to correct personal data I hold
-
Restriction - limit how I use your personal data
-
Erasure - ask me to delete personal data; and
-
Objection - object to particular ways I use your personal data based on legitimate interest or direct marketing
-
Withdraw consent – you can withdraw consent at any time
-
Complain - make a complaint about a breach of your data protection rights.
Your ability to exercise these rights will depend on several factors, and in some instances, I will not be able to agree to your request (for example, if I have a legitimate reason for not doing so or the right doesn’t apply to the particular information I hold about you).
If any of your personal data changes or is incorrect, please contact me.
7. How to contact me
I am committed to working with you to resolve any complaint or concern. I will acknowledge your complaint within 30 days, or any shorter period required by law, and keep you informed of progress. If you have any questions about my privacy notice, please email me on hello@tclifecoaching.com.
If you are not happy with how I have dealt with your complaint or concern, you can complain to the data protection authority of the United Kingdom using their website at https://ico.org.uk.
8. Cookies
Cookies and similar technologies may be in use on my website and in my emails. Cookies are text files that gather small amounts of information, which your computer or mobile device stores when you visit a website or use an app. When you return to the website or app, or visit websites and apps that use the same cookies, they recognise these cookies and your device. Cookies do many different jobs, like letting you navigate between pages efficiently, remembering your preferences, and generally improving your online experience. They can also make sure that the adverts you see online are more relevant to you and your interests.
If you’ve allowed the use of cookies that support my pages on social media platforms, it will allow the social media platform provider (such as Facebook) to collect information about you, your device and which of my web pages you have visited. The cookies policy gives you more information on cookies.
9. Social media platforms
Social media platforms (and some website providers) collect and use personal data for their own purposes, such as account management, analytics and advertising. I can control what I post and what information I choose to share with them, but I do not control how the platform uses your data as part of your account with them. That’s why it’s important to review the platform’s own privacy notice and settings.
Where a platform acts as a joint controller with me for certain processing (for example, page insights/analytics), we each have responsibilities under data protection law. In practice:
-
you can exercise rights relating to the platform’s processing (such as account data and advertising preferences) directly with the platform; and
-
you can exercise rights relating to the information I hold (such as your client notes and communications) directly with me.
10. Links to other websites
My site and social media pages may include links to other websites. I am not responsible for their privacy policies, so please check theirs before sharing personal data.
11. Changes to my privacy notice
I reserve the right to change my privacy notice in the future and recommend that you check this page occasionally to ensure that you’re happy with any changes.
You can ask me for a copy of this privacy notice using the contact details set out above. I may change or update this privacy notice from time to time.
If changes to this privacy notice will have a major effect on what I do with your personal data or on you personally, I will give you enough notice to allow you to exercise your rights.
April 2026
Terms of Service
Effective April 2026
These Terms of Service form the agreement between True Clarity with TC (“the Practitioner”, “I”, “me”, “my”) and the Client (“you”, “your”).
1. Introduction & Scope of Services
Life Coaching
Life coaching provides a supportive, structured space to help you explore your thoughts, gain clarity, and make considered choices about your next steps. Coaching focuses on the present and the future, supporting change, confidence, and progress through conversation, reflection, and practical tools.
Life coaching is not counselling, therapy, or medical treatment. You remain responsible for your own decisions and actions throughout the coaching process.
Hypnotherapy (Optional Additional Support)
Hypnotherapy is offered as an optional additional tool, either as a stand‑alone service or alongside coaching where agreed and appropriate. Hypnotherapy uses guided relaxation and focused attention to support calm, clarity, and positive change by working with the subconscious mind.
Hypnotherapy sessions are delivered gently and collaboratively and may support issues such as stress, anxiety, confidence, focus, or performance. Hypnotherapy is not a replacement for medical or psychological treatment.
Individual experiences vary, and testimonials reflect personal perspectives rather than guaranteed outcomes.
2. Initial Enquiry Call – Important Information
The Initial Enquiry Call is offered as a free, no‑obligation conversation to explore whether working together feels appropriate. No ongoing services are provided until both parties agree to work together.
Any information shared during this Initial Enquiry Call will be treated confidentially and in line with data protection requirements.
Please note that the Initial Enquiry Call does not constitute coaching or hypnotherapy. Ongoing work will only begin once both parties agree to proceed and formal Terms of Service are accepted, signed and received.
3. Confidentiality & Data Protection
Confidentiality & Data Protection applies once sessions begin in line with the Privacy Notice & Cookies Policy found here on the website.
As mentioned above, any information shared during the Initial Enquiry Call will be treated confidentially and in line with data protection requirements.
I will maintain confidentiality of information shared in or around coaching and/or hypnotherapy sessions unless disclosure is required by law, there is a risk of harm to yourself or others, or your written consent is given.
4. Booking & Payment
A FREE Initial Enquiry Call is offered to discuss your needs and confirm whether working together feels appropriate.
The Initial Enquiry Call can be booked online from the Services Page or by completing the Contact Me form.
Further sessions or session packages are booked online following the Initial Enquiry Call.
Appointment times are reserved specifically for you once confirmed.
Before we begin our work together, you will be asked to please review, sign and return the Client Agreement, Consent & Health Information Form. This should be completed in full and will include the option to opt in/out of marketing materials from me.
Sessions, packages, upfront payment
All sessions are booked and paid for in advance at the time of booking.
Coaching sessions are currently at the cost of £40 per 45-minute session.
Prices are charged as advertised on the website and are subject to change over time.
Promotional offers, discount codes and vouchers may be offered from time to time. Only valid codes within the stated dates and terms of issue will be accepted. True Clarity with TC reserves the right to amend or withdraw promotions at any time.
Discounted session packages must be paid in full at the time of booking the first session.
Package payments are non‑refundable and must be used within 3 months of the purchase date, unless otherwise agreed in writing.
Sessions within a package may be scheduled flexibly, subject to availability.
5. Cancellations & Rescheduling
If you need to cancel or reschedule a session, a minimum of 24 hours’ notice is required.
-
Cancellations made with less than 24 hours’ notice will be charged in full (non-refundable).
-
Missed appointments or late arrivals may be charged as a completed session (non-refundable).
-
Where possible, rescheduling within the notice period will be accommodated.
Exceptional Circumstances
I understand that unexpected situations can arise. In exceptional circumstances, I may exercise discretion.
Practitioner Cancellations
In the unlikely event that I need to cancel a session, you will be offered either a full refund for that session or the option to reschedule at a mutually convenient time.
Agreement
Booking a session confirms your acceptance of these booking and cancellation terms.
These Terms of Service shall be governed by the laws of England and Wales.
6. Professional Relationship Between Coach and Client
The coaching relationship is built on trust, rapport and confidentiality, creating a safe and supportive space for open and honest discussion. All information shared during sessions will be treated in confidence, except where disclosure is required by law or where there is a risk of harm to yourself or others. Coaching is delivered in accordance with applicable law and the professional code of ethics and standards of relevant coaching bodies. To maintain best practice and professional development, anonymised aspects of coaching work may occasionally be discussed with a coaching supervisor or mentor, with no identifying personal details disclosed.
Clarity in our terms helps build a foundation of trust and mutual respect.
Thank you for taking the time to read these Terms of Service.
